Lone worker check-in procedure template

A check-in system only works if everyone knows exactly what happens when a check-in is missed. This template sets the schedule by risk level and, more importantly, the escalation ladder that runs automatically when the schedule breaks.

Risk levels come from the lone worker risk assessment. When in doubt, use the higher frequency.

Escalation ladder - missed check-in

The clock starts the minute a check-in is due and not received. Steps run in order but any step can jump straight to 999 if there is an indication of danger.

Accepted check-in methods

Responsibilities

The worker checks in on schedule and updates their expected itinerary before starting work. The receiving supervisor or monitor acknowledges every check-in, actions the escalation ladder without delay, and logs every missed check-in and its outcome, including false alarms. False alarms are reviewed for pattern, not punished; a worker who stops checking in because it caused friction is the failure mode this procedure exists to prevent.

How to use it

Getting the most out of this template

  • Print the escalation ladder and put it where the supervisor sits. In a real event nobody looks up a policy document.
  • Test the full ladder quarterly with a planned missed check-in drill and time each step.
  • If check-ins rely on one person acknowledging them, name a backup for breaks, leave and sick days.
  • Automate what you can. A safety timer that escalates on its own removes the single point of failure.

Frequently asked

How often should lone workers check in?
Set the frequency from the risk assessment: commonly every 30 minutes for high-risk work, every 1–2 hours for medium risk, and start and end of shift for low risk. The maximum time before someone notices a problem should never exceed the check-in interval.
What should happen when a check-in is missed?
A timed escalation ladder starts immediately: attempt contact, call emergency contacts, dispatch a welfare check, then call 999. The whole ladder should complete within about 30 minutes, faster if there is any indication of danger.
Are manual check-ins enough?
They work at low risk but depend entirely on one person noticing a miss. For medium and high-risk work, automated safety timers or monitored devices remove that single point of failure and cut response time.
